Short summary
Use sorting, filters, labels, and the right-click menu to organize Proposals in a Proposal board without opening each Proposal.
When to use this feature
Use this when you want to:
- Find a Proposal by title, recipient, company, or address
- Filter a board by Team members, Labels, Time in board, or Active in
- Sort Proposals by date or title
- Add, remove, or rename Labels
- Quickly access Proposal actions from the right-click menu
Step-by-step instructions
- In the Business Portal, go to Menu → Workspaces → open documents
- To filter the board:
- Use the search field with placeholder "Proposal title, recipient name, company name or address".
- Select options under "Team members", "Labels", "Time in board", or "Active in".
- A red dot appears when a filter is active.
- To sort the board, open sort dialog and choose:
- "Newest first"
- "Oldest first"
- "Proposal title"
- To add or remove Labels from a Proposal, right-click the Proposal and go to "Control" → "Settings" → "Labels".
- In the "Labels" dialog, select or clear the checkbox next to each Label.
- To rename a Label, click the edit icon next to the Label, enter the new name, and {{missing_data}}.
- If the Proposal already has at least one Label, you can also manage Labels from the Proposal header by clicking the plus button.
- To expand Labels in the Proposal header, click a Label. The Labels expand only on the current Proposal.
- To switch a Stage between Proposal count and Proposal sums, click the count at the top of the Stage.
- Click once to show the total value of Proposals.
- Click again to return to the Proposal count.
- To use the right-click menu, right-click a Proposal and choose an available action, such as "Edit proposal", "Preview", "Share", "Add comment", "Copy", "Archived", "Make template", "Delete", or "About".
- To view the owner from the Proposal dialog, click the owner icon in the Proposal header.
Notes & limitations
- Filters are saved per Team Member and per board across sessions.
- Sorting is saved per Team Member and per board across sessions.
- The default sort is "Newest first".
- Empty search means no search filter is active.
- No selected Team members or Labels means no filter is applied for that section.
- "Time in board" and "Active in" default to anytime.
- Labels use six predefined colors.
- Label names are board-level. Renaming a Label applies across all Proposals in that board.
- Proposal sums are available only on Proposal boards.
- Proposal sums use the Company default currency.
- "Change owner" is visible only to an Admin.
- "Delete" is available only in the Draft Stage.
Troubleshooting
Q: Why do I see a red dot on the filter?
A: A filter is active on the board.
Q: Why can’t I see "Change owner"?
A: "Change owner" is visible only to an Admin.
Q: Why can’t I see "Delete"?
A: "Delete" is available only in the Draft Stage.
Q: Why did a renamed Label change on other Proposals?
A: Label names are shared across the board. Renaming a Label updates it everywhere in that board.
Q: Why do I only see a few Team members or Labels in the filter?
A: The filter shows the top three first. Use "Show all" to view the full list.
