You can turn an uploaded PDF in an Agreement into a fillable form with assigned fields for recipients or team members. After that, you can complete the form in the guided signing flow.
Add form fields
- Open the Agreement that contains the uploaded PDF.
- Click + Add/Edit form fields.
- In the Form builder dialog, drag a field onto the PDF.
- Select the field and set its details, such as:
- Label
- Placeholder
- Field by
- Specific recipient
- Default Value
- Required
- Repeat for any other fields you need.
- Click Close to save your changes.

- Select (multi)
- Stamp
For dropdown fields, use Dropdown items to add options.
Things to know
- This feature works for uploaded PDF Agreements in Proposal and Agreement document types.
- Once an Agreement is partially signed or approved, + Add/Edit form fields is disabled.
- After a field is signed, it’s locked and can’t be edited.
- Approval settings control who can be selected in Field by.
- If approval settings change and conflict with existing PDF fields, Proposaly shows a removal warning.
- If the current user has no PDF fields to complete, Proposaly uses the regular signing flow.
- Team members can complete sender-assigned fields in the signing flow.
- Signature and initials values can be reused across matching fields.
- Long text scales down to fit the field.
- If a logo token has no uploaded logo, the space stays transparent.
- Stamp is available only for company team members.
Common questions
Why can’t I click + Add/Edit form fields?
The Agreement may already be partially signed or approved, so the field editor is locked.
Why can’t I assign a field to the sender?
Your current approval settings may not allow sender-assigned PDF fields.
What happens if I change approval settings after adding fields?
You’ll see a warning, and incompatible fields will be removed if you continue.
Why doesn’t the signing flow open for this user?
If there are no PDF fields for the current user to complete, Proposaly uses the regular signing flow.
