You can set your company’s default communication channels and notification settings in Settings. These defaults control how Proposaly sends internal team notifications and client-facing notifications.
Open the Communication tab
- In the Business Portal, go to Menu → Company → Settings.
- Open the Communication tab, located to the left of Integrations.

Set communication preferences
Under Communication preferences, you can choose how phone-based messages are sent.
- Email is always on and cannot be turned off.
- Under Phone, choose one option:
- WhatsApp with SMS fallback (recommended)
- SMS only
- WhatsApp only (not recommended)
If available, click Link WhatsApp to connect WhatsApp for phone-based messaging.
Edit notification defaults
In the notification defaults area, you can manage:
- Team Notifications
- Recipient Notifications
For each section:
- Click Edit.
- Update the notification settings.
- Click Save.
Your changes become the company default for that section.
To go back to the system default, click Reset to default.
How notification priority works
Proposaly uses the closest available setting.
For team members
Priority is:
- Workspace level
- User level
- Company level
For recipients
Priority is:
- Recipient level
- Company recipient level
Common questions
Can I turn off email?
No. Email is always on.
Who can access notification defaults?
Only the company owner and integrators can access them.
Why is WhatsApp not used for a phone message?
If you selected WhatsApp with SMS fallback (recommended), Proposaly tries WhatsApp first and uses SMS if WhatsApp is not supported or the message is undelivered.
Why aren’t my company defaults being used?
A more specific setting may exist. For team members, check Workspace or User settings first. For recipients, check recipient-specific settings first.
