You can control who can open a Workspace and what they can do in it. Workspace access also applies to all Documents inside that Workspace.
Open Workspace Access Settings
- Go to Menu → Workspaces.
- Find the Workspace you want to manage.
- Open the Workspace 3-dot menu.
- Click Team members with access.
This opens the People & access dialog.
Add, Change, or Remove Access
- In People & access, use Add people to add a Team Member.
- Choose a role from the dropdown next to their name.
- To change access for an existing Team Member, use their role dropdown.
- To remove access, select Remove access.

Available roles:
- Owner — one per Workspace
- Editor
- Scope editor
- Commenter
- Viewer
What Each Access Level Means
On first reference in this dialog, you can use the People & access info icon to review role details.
- Owner / Editor: Full access to all documents and can create new ones.
- Scoped Editor: Can create new documents, but only access those they’re assigned to.
- Commenter: Can view all documents and leave comments - no edits.
- Viewer: Can view all documents - no comments or edits.
Important Rules
- All Workspaces are private.
- Each Workspace has one owner.
- Workspace access is inherited by all Documents in that Workspace.
- Document access can give a Team Member higher access than their Workspace access.
- Workspace access cannot reduce access already granted on a Document.
- A Team Member can have different roles in different Workspaces.
- Team Members without Workspace access cannot view the Workspace unless they have access to at least one Document in it.
- If they only have Document access, the Workspace appears in a limited view and the Workspace 3-dot menu is hidden.
- Sharing limits apply:
- Up to 50 active users per Workspace
- Up to 25 active users per Document
- If a Team Member becomes inactive, their Workspace and Document access is removed.
- Pending invitations older than 16 days are removed automatically.
Transfer Workspace Ownership
- Open People & access for the Workspace.
- Open the role dropdown for the Team Member you want to make the owner.
- Select Transfer ownership.
- Confirm the change.
Only one Team Member can be the Owner at a time.
Common Questions
Why can’t you see a Workspace?
You need access to the Workspace, or access to at least one Document inside it.
Why can’t you edit a Workspace?
If you only have access to specific Documents, the Workspace opens in a limited view and the Workspace 3-dot menu is hidden.
Why does someone have more access on a Document than in the Workspace?
Document-level access can increase access for that specific Document.
Why was a Team Member removed from access?
This usually happens when the Team Member became inactive or their pending invitation was older than 16 days.
