1. Introduction
What this article covers:
This article explains the key differences between creating a lead and creating a proposal in the Proposaly.io workspace, including how leads are tracked, when proposals are generated, and how clients and recipients are managed.
Who this is for:
Sales teams, account managers, and admins working in the Proposal workspace who need to organize opportunities and manage client relationships effectively.
Why it’s useful:
Understanding the distinction between leads and proposals helps your team track sales opportunities accurately and ensure proposals are created and assigned to the right recipients without unnecessary delays.
2. Lead vs. Proposal: What's the Difference?
📌 Leads (Prospect Stage)
- A lead represents a potential client who has shown interest but has not yet received a proposal.
- Leads appear in the "Prospect" stage of the Proposal workspace.
- No card has been created and no recipient is assigned yet.
- This stage helps you track early opportunities and prioritize follow-ups.
✅ In short:
Leads = Pre-proposal opportunities
No recipient, no card — just a client or contact to follow up with.
📄 Proposals (With Recipient)
- A proposal is created when you generate a card and assign it to a specific recipient (a contact at a client company).
- Once created, the proposal moves through various workflow stages:
-
Draft → Shared → Approved → In Progress → Completed → Archived
-
Draft → Shared → Approved → In Progress → Completed → Archived
- Proposals are actionable — they’re tied to both a client and recipient and track real progress toward closing a deal.
✅ In short:
Proposals = Active cards
Tied to a real recipient, and they follow a formal approval lifecycle.
3. How Recipients Work in Proposaly.io
To create a proposal, you must assign it to a recipient — a contact person at a company.
Client vs. Recipient: What’s the Difference?
- Client = the organization or company you're doing business with
-
Recipient = the specific person at that company who receives and reviews the proposal
Creating a client doesn’t automatically create a recipient. You must add at least one contact to that client’s profile.
Where Recipients Are Stored
- Each client record contains its own list of recipients.
- When creating a new proposal, you can select from this list.
- You can also add a new recipient manually at that time.
Recipient Features & Benefits
- Once saved, a recipient is stored in your Proposaly.io contact directory.
- Easily search by name or email when assigning new proposals.
- Recipients can be reused across multiple proposals.
- Prevents retyping and ensures consistent contact info across cards.
✅ Recipients are stored centrally and searchable anytime you’re building a new proposal.
4. Workflow Recap
Lead Stage (Prospect Column):
- No proposal created
- Tracks early interest only
Proposal Stage (Draft and Beyond):
- Proposal card created
- Recipient assigned
- Follows a full proposal lifecycle:
Draft → Shared → Approved → In Progress → Completed → Archived
5. Conclusion
Leads and proposals serve different but complementary purposes in the Proposaly.io workspace.
Use leads to track early interest and opportunities, and transition to proposals once you’re ready to assign a recipient and generate a formal document.
Understanding this distinction helps keep your workflow organized, your pipeline clear, and your team aligned on what’s actionable vs. what needs follow-up.
